Guest speaker – Mike Hutchison (from IT), Presentation on Online Archiving / Retention of Email:

  • Personal folders (likely where everyone is storing their email): Never designed to hold large amounts of data. Fixed limit (space). Puts strain on the file server.
  • What is an online archive? Looks like another email box with your name on it. Automatically moves messages to the archive after two months. Unlimited capacity, and is backed-up. Redundancy in system to protect emails.
  • Why use it? Gets rid of mailbox limit. Stale data moved to less expensive storage. Better use of faster storage for mailboxes and moodle. Backups are more manageable. Ease of use. Automatically appears in Outlook or Webmail. (Not supported in Mac mail clients, but still accessible via Webmail.) Keyword searchable and uses same folder structure as current mailbox.
  • Question (Ken): Who has access to this archive? Answer: Only the person whose email it is can access it.
  • Retention: Deletes messages after two retention periods. 5 yr or 10 yr options. Process runs in the evening. Time limit does not affect Personal Folder files.
  • Transitioning to archive option: Takes effect overnight. Personal files remain untouched. Mailbox limits removed. It basically moves to a “mailbox database”. IT can help you with this.
  • Question (Rick): Do you have to switch all email folders to this? Answer: Personal folders can be kept as is, or you can have it copied into the archive.
  • Question (George): Can I export my email files to another email client? Answer: You could export the file but it will be in .pst format, so you can only import it into an email client that uses .pst.
  • Question (Robin): Who do we call to get this set up? Answer: Contact the IT helpdesk ([email protected]) or Mike.

6.1 Bargaining: (Eugene for Wendy)

Things pretty quiet over the summer. No meetings in August. We’ve put together a survey to get your input on some proposals from the Employer. We really need you to fill this out. We will look at the results, present them back to you, and share where to go from here.

Question (Tony) – Is the stuff coming from our employer or PSEC? What’s your thoughts? Answer: Some is internal to RRU, some you can sense PSEC looking over the employers shoulder.

6.2 Board of Governors: (Charles)

Email from Charles. Nothing new to offer. However, there is an Alumni Appreciation event at the Parkside Hotel. Get details from Paul Corns if interested. They’re giving out Alumni awards.

There is a board meeting on the morning of the 10th you’re welcome to attend.

6.3 Academic Council: (Rick)

Was away in China, nothing to report.

6.4. CUFA-BC: (Rick)

My term just finished, but will stay on as an active past-president. CUFA is looking for a new executive director. Happy to receive any names of anyone you know of who may be interested. CUFA Council to get together first week of October to go through the shortlist of applications.

 

Doug Baer (UVic) is the new CUFA president. They’re looking at providing a conference on creating new ways of building relations with university presidents.
